disclaimer: This is a guide that I compiled from my personal experiences and the experiences of others. It is not meant as the be-all and end-all to holiday event planning. Everyone is different and may have a different way of approaching holiday event planning.

Hosting a holiday event
takes a lot of effort and work, but the reward is worth it. Whether you're running a
holiday event to celebrate the holidays, bring players together, roleplay, or meet people, planning a holiday eventwill allow you to organize effectively and will help youin getting the turnout you want and most importantly, enjoythe event.

  • Check out the SWG Holiday Player Events Guide to learn the types of Holiday Events:
    • Themed holiday. Celebrate a real-world holidaywith a Star Wars twist. Real-world holidays do not have much relevanceto the Star Wars universe (i.e. Bossk would not know what St. Patrick'sDay is). An example of a themed holiday would be Shadow Night Festival (Halloween), or Life Day (Christmas).
      • List of player-created real world holidays with a Star Wars twist. This is not official Star Wars canon.
    • Star Wars Holidays. Events that come from the movies or other extended universe fiction. Not all of the events are within the timeframe: between Episode 4 and before Episode 5 (somewhere between 0 and 1 ABY). Some have not occurred, some are species-specific, and some have been outlawed.
  • Decide what you want to do for your holiday event: roleplay, camping trip, cantina crawl, racing event, fishing event, PvP event, Lifeday caroling, etc...
  • Look at the Current Player Events listings for ideas if you are close to the holidays.
  • Look at the Event Reports which highlight players events and the Events: How To page.
  • Create your own non-canon Themed holiday. Examples.
    • Think of the holiday concept from the real-world holiday. Mother's Day, Easter, Thanksgiving, etc...
    • Look to SWG planets for any associations. i.e. Endor houses Father Tree, which is appropriate for a Father's Day event.
    • Look to EU lore for inspirations and associations. i.e. Singing Mountain Clan are a matriarchal society on Dathomir, which is an excellent choice for a Mother's Day event.
      • Look to symbolism (in the stones and inside the caves). The spiral is a common symbol suggesting a cycle of rebirth or resurrection. In threes: the maid (virgin), mother (fertile matron) and the crone (elder, wise woman).
      • Find a location or planet to host the event. A good spot would be the holy Singing Mountain Clan Cave or on Naboo because its society is ruled by a woman during this timeline (Queen Kylantha).
      • Create a roleplay storyline for the event. Tell a story using macros.
        • You could RP visting the SMC Cave to learn about the history while celebrating the real-world Mother's Day holiday.
        • Asyou head up the mountain, a path spirals (journey), moving upwards,inwards, outwards and to different directions. Different parts of themountain represent different stages: a place of initiation, where the maids go to lose their virginity, where the mothers give birth etc...

  • Event preparation depends on the types of events you would like to host (party, racing, fishing, crawl, PvP event, etc). Usual holiday events are a social gathering associated with parties. It is best to plan it at least 3 weeks in advance.
    • If you want live interactive support you will need to give the Events Manager 2 weeks notice in advance.
  • The World Clock - Current local times around the world
  • Arizona (with the exception of the Navajo Nation) and Hawaii and the territories of Puerto Rico, Virgin Islands, Guam, and American Samoa are the only places in the U.S. that do not observe DST (Daylight Savings Time) but instead stay on standard time all year long.

  • Delegate tasks to guild members, friends or community members to take pictures or record attendance. Assign clear duties and responsibilities such as:
    • Findvolunteers to distribute gifts to the guests. You can create itemsthemed to your event. i.e. give out fishing poles on Father's Day,potted plants for Valentine's Day, etc..
    • Find a volunteer take pictures of the event.
    • Find volunteers to monitor griefers if your event is going to be in a public place.
  • Contact a Mayor or cantina owner for possible venues.
  • You can also contact an event helper for help with your event.

  • Publicize the event as much as possible. Read the the guide to promoting your event.
  • Post an event announcement on your Galaxy forum "Upcoming Player Events" post. This will be posted on the Current Player Events.
  • Advertise your event in fan sites or Roleplaying Server Communities.
  • Create visual ads and post them on the events forum, and on your server's forum.
  • Advertise the rules in advance. This will help to eliminate any misunderstandings or false-expectations.
  • Advertise in-game. Ask another event host to sponsor your event. Spreadthe word. Send Emails (Guild Mail, Event Mailing lists, City Mails)

  • Remember to delegate tasks.
    • Assign people to distribute the gifts.
    • Assign someone take pictures of the event and of participants.
    • Assign someone to record the names of attendees.
    • Assign someone to record chat logs (/log). This is entirely optionalbut we find it really helpful to read after an event. It gives you achance to see tells that you have missed, or have documentation tosettle any disputes that might arise later.

  • Send a thank you letter to all of those who attended the event.
  • Write an event report and post in the galaxy forum, events, fan sites or roleplaying server communities.
  • Tell people how the event went. Post images of screenshots and give them the URL.
  • Contact people who run fan sites and pod casts to feature your post event news. You can find these people in the community news forum.
  • Ask for suggestions, feedback, and comments.
